Who receives notifications?
AEC uses automated Email and WhatsApp notifications so that parents, students and tutors all know when lessons are booked, coming up, or cancelled.

Lesson creation notifications
When a new lesson is created and it is scheduled to take place within the next 7 days, the following people automatically receive an email:
This helps everyone see the new lesson in their inbox straight away, without needing to log into the portal.
Automated reminder emails
Before each scheduled lesson, the system sends a series of reminder emails to the relevant parent, student and tutor:
- 7 days before the lesson
- 24 hours before the lesson
- 1 hour before the lesson
These reminders are designed to reduce no-shows and make sure everyone has the date and time clear in advance.
Lesson cancellation notifications
If a lesson is cancelled in the system (by AEC staff or via the appropriate workflow), all relevant parties receive a cancellation email:
This applies to both standard cancellations and late cancellations. Any chargeable vs non-chargeable rules are handled by AEC’s cancellation policies, but the notification itself will still be sent.
WhatsApp reminder notifications
In addition to email, AEC also uses WhatsApp notifications close to the lesson time to make sure parents, students and tutors see reminders on their phones.
- 1 hour before the lesson – WhatsApp reminder
- 10 minutes before the lesson – WhatsApp reminder
These short-notice WhatsApp reminders are especially useful for online lessons where a quick prompt helps everyone join on time.
Who receives which notifications?
Parents & guardians
- Emails for new lessons within 7 days.
- All reminder emails (7 days, 24 hours, 1 hour).
- Cancellation emails for any cancelled lesson.
- Short-notice WhatsApp reminders (1 hour, 10 minutes).
Students & tutors
- Emails for new lessons within 7 days.
- All reminder emails before the lesson.
- Cancellation emails if a lesson is cancelled.
- WhatsApp reminders close to the start time.
How this fits with the other guides
- Tutors should still check their Learn.AEC dashboard and calendar – notifications are a safety net, not the only source of truth.
- Parents and students can rely on these communications to stay informed about lesson bookings, reminders and cancellations even if they are not logged in.
